Can Clio assign one task to multiple people?

No. A Clio Manage task has one Assign to field, it cannot be a group, and it cannot be blank. What Clio does offer instead, including the two native routes most firms have not set up, and where each one runs out.

No. A Clio Manage task has a single Assign to field. Clio's own documentation is explicit: tasks must be assigned to either a firm user or a contact, tasks cannot be assigned to groups, and the Assign to field cannot be left blank. There is no multi-assignee option and no way to defer the choice.

Two things worth knowing before you design a workaround, because both are commonly got wrong on other pages about this, including, until we checked, ours. First, Clio Manage has no automatic task reminders at all, so "send reminders to several people" is not the answer it is usually described as. Second, Clio Grow tasks can take multiple firm users, same vendor, opposite answer. Details below.

What Clio Manage actually does

One task, one assignee, and the assignee can be a firm user or a contact, which is a wider door than most people realise, though a contact assignee is for tracking client-side obligations rather than distributing internal work.

The Assign to field drives whose task list the task appears in, who gets notified, and who appears in task reporting as responsible. Task statuses run pending, in progress, in review and completed, and Clio reports task progress and productivity per user, all of which is built on the assumption of one owner.

Around the single assignee, Clio gives you:

  • A task appears in several places at once. The matter timeline, the calendar on its due date, and the dashboard Firm Feed. Visibility is not the same as assignment, and Clio is better at visibility than most firms give it credit for.
  • Privacy is per task. A task marked private is visible only to its creator, its assignee, and administrators.
  • Reassignment in bulk. You can reassign a single task, reassign all tasks from one user to another, the offboarding case, or reassign a selection from the Tasks tab. One limit worth knowing: bulk reassignment only covers tasks on open or pending matters.

The reminders myth

This is the correction worth carrying away. Clio's own help centre states plainly that you cannot set automatic reminders for tasks. What exists is notification settings: each user controls, under Settings → Notifications → Tasks, whether they get email, in-app and mobile notifications about task assignment and changes.

So the widely repeated workaround, "assign it to one person and send reminders to the rest", does not describe a feature Clio Manage has. Notifications reach the people involved with the task, on their own settings, and there is no interval-based reminder you can point at three named people. Any page telling you otherwise is describing either Clio's calendar reminders or a version of the product that no longer works that way.

The three workarounds inside Clio

Use the task list's list assignee

The best native answer, and the one most firms have not set up. When you build a task list, each task inside it offers a choice:

  • Use list assignee, this task goes to whoever the task list is assigned to.
  • Select assignee, this task goes to a specific named person regardless of who gets the list. Clio notes this can still be overruled at the moment the list is assigned.

That first option is real indirection. The template says "the person running this list", not "Dana", so one task list serves every office and every paralegal. Combine the two and a nine-task intake list can send six tasks to whoever is running intake and three to the named person who always does the conflicts check.

Where it stops: there is exactly one level of indirection, the list assignee. You cannot express "the paralegal for this practice area" and "the attorney on this matter" as two different roles inside one list. Two roles means either two lists or a named person, and named people go stale.

Two more wrinkles: tasks in a task list cannot be reordered (Clio's documented advice is to delete them and recreate them in the order you want), and you cannot change the due dates of tasks in a task list once the list has been assigned.

Let an automated workflow assign by matter role

Genuinely underused, and the closest Clio comes to role-based assignment. Clio matters carry three role fields, responsible attorney, originating attorney and responsible staff, and responsible staff exists precisely for this: Clio describes it as the individual responsible for matter-related tasks beyond the responsible attorney, and says automated workflows can use the field to assign task lists and tasks to that person.

So an automated workflow can create a task list on a matter and route it to whoever holds that role on that matter, resolved per matter rather than baked into a template. That is real, and if it covers your case you should use it rather than buy anything.

Where it stops: three role slots, firm-wide. If your routing depends on the office, the case sub-type, a custom field or who is on leave, there is no fourth field to put it in. Automated workflows also require a higher-tier plan, see the complete guide for which one.

One task per person

Duplicate the task, change the assignee, keep the title identical. The honest choice when the work genuinely is parallel, three attorneys each reviewing the same draft, three real reviews.

Where it stops: everything downstream now counts three. Task progress and productivity reports show three items where the firm wants one, and time estimates inflate with them. Applied by a template across forty matters a month, you have tripled your task volume.

The test: if two of three people finishing means nothing until the third finishes, these are three real tasks. If one person finishing means the work is done, they are not, you have just made two people delete a task.

The Clio Grow exception

Worth knowing because it confuses people who use both products. In Clio Grow, you can assign multiple firm users to a task, though not contacts, which is the exact inverse of Clio Manage's rule. Grow's checklist tasks cannot be automated or made dependent on other tasks, while tasks in Grow's automated workflows can be automatically assigned.

None of which helps you in Manage, because Clio Grow and Clio Manage tasks do not sync. You can surface Grow task due dates on your Manage calendar, and that is the extent of it. If somebody tells you Clio supports multiple assignees, this is probably what they saw.

When the workarounds stop working

The specific breaking point is not volume. It is when the correct assignee is not knowable when the template is written and is not one of the three matter roles.

Assignment by a role Clio does not have a field for. "The intake paralegal at the office this matter belongs to." Responsible staff is one slot; a firm with three offices and four practice areas needs more than one.

Assignment that depends on a matter field. The office, the case sub-type, the referral source, a custom field. Automated workflows condition on practice area and optionally responsible attorney, not on custom fields, so a task list cannot be routed by one. Assignment that has to route around absence. If the intake paralegal is on leave the week the matter opens, the task lands and sits. Nothing native checks. The workaround is a person reading the calendar and reassigning, the work you bought automation to remove.

If none of those three describe your firm, set up list assignees and role-based automated workflows properly and spend your money elsewhere. If two or three do, this gets solved somewhere. The only question is whether it gets solved in a tool or in somebody's Tuesday morning.

How Taskflow handles it

Taskflow assigns by rule rather than by name or by one of three fixed fields: each task in a template points at an assignee rule, whoever runs intake at the matter's office, the responsible attorney, the paralegal for this practice area, read from a custom field, resolved against the Clio matter at the moment the task is created. Rules fall back in order and can skip someone who is on leave, so the task lands on somebody real rather than on a name that was right when the template was written. Clio still receives one assignee per task, because that is what Clio has; the difference is that nobody chose it by hand. Questions people also ask

Can you assign a Clio task to a group or a team?

No. Clio's documentation states directly that tasks cannot be assigned to groups. Groups exist for permissions and reporting, not task assignment. The nearest equivalent is a task list that hands each member their own task.

Can you assign a Clio task to a role rather than a person?

Partly, and better than most people think. A task list's use list assignee option defers to whoever the list is assigned to, and an automated workflow can assign a task list using the matter's responsible attorney or responsible staff field. Beyond those three role fields there is no way to express a role.

Can you leave a Clio task unassigned?

No. The Assign to field cannot be blank, so an integration cannot defer the decision either, anything creating tasks in Clio has to have resolved an assignee first.

Can a Clio task be assigned to a client?

Yes. A task can be assigned to a contact rather than a firm user, which is the mechanism for tracking something the client owes you. Note the inversion: Clio Grow does not allow contact assignees but does allow several firm users.

Can two people be reminded about one Clio task?

Not by a reminder feature, Clio Manage has no automatic task reminders. Notifications go to the people involved with the task according to each user's own notification settings. If you need a specific person prompted on a specific day, that is a calendar event, not a task reminder.

What happens if the assignee leaves the firm?

Reassign before you deactivate. Clio supports reassigning every task from one user to another in a single action, which is the right offboarding step, but it only covers open and pending matters, and it does not touch task list templates. A template naming the departed user keeps naming them, silently, until somebody edits it.

Is there an API way to assign one task to several users?

No. The API mirrors the product: one assignee, and it cannot be null. Creating N tasks is the only route.
